The Challenge

Like all education providers, Ormiston Academies Trust (OAT) champions excellence in academic achievement. However, their legacy meeting solution lacked the vital workflow support needed to effectively manage their board and committee meetings.

The existing solution was designed to cater for the digital world but proved very cumbersome for its Users. The high cost of ownership was also a key concern.

OAT abandoned their meeting solution, in preference for a less than ideal manual process, developed in-house by their IT team, but this transition caused security concerns in relation to their board sensitive materials, which were stored in multiple systems, networks and spreadsheets.

The Solution

OnBoard’s integrated Cloud technology helped to resolve OAT’s meeting solution challenges. With OnBoard, OAT were able to more effectively manage the way they prepared for and conduct their board and committee meetings.

Administrators found that OnBoard’s streamlined workflows enabled them to quickly prepare and publish meeting agendas and its intuitive user interface helped to circulate board papers in a timely manner.

Board directors found that OnBoard’s productivity tools simplified the way the way that they worked, providing easy access to board papers, through their mobile devices. Additionally, they significantly valued the ability to instantaneously access their different organisations, and work offline when they were out of WiFi range.

The Result

A streamlined workflow enabled easy access to meeting materials on any device, from anywhere as well as voting on approvals and resolutions.

OnBoard also solved OAT’s workflow support issues and brought down their overall costs to an acceptable level.

Board member collaboration was improved through the sharing of notes and annotations, RSVP notifications and electronic signatures. Having easy access to all their pertinent information from the Dashboard, including access to their meeting list, announcements, actions and supplementary materials provided an at a glance view of their important resources.

By taking advantage of OnBoard’s cloud-based technology, OAT’s overall costs were reduced – helping them go paperless.
